Hi all,
I would love to join and make myself available for the following tasks:
1. Event photographer (450D + 17-55mm USM & 50mm 1.4 [which I can lend if desired])
2. Post processing - MacBook (late 2008) with both Lightroom 3 and CS5
3. General assistant
Will also try to drag along the gf who can be another pair of hands (as well as probably taking quite a few event pictures herself).
Do I need to signup/indicate anything on the Help Portrait site? Or is posting here enough?

I just signed up on the HP site. Is there anything else I need to do before getting approval to join the group?
I'm most interested with these tasks but can help out with most of the other tasks (aside from makeup):
1. Designated photographer (30D, 50mm f/1.4 & 28-135mm & 10-22mm, 430EXII)
I'm used to natural light and new to studio lighting
2. Organizer
3. Assisting
4. Printing
My friend will join as well and she can help with:
1. Event photographer
2. Makeup
3. Assisting
My friend doesn't have enough make up to "paint the town" so to speak. Is there anyway we can get discounts or group supply of makeup? In general, what make up should be brought to the shoot?

About the makeup...last year it did not work out well with makeup so we will try it again this year. just bring what you can spare, i am sure others will do the same. it should be enough to get the people prepared. we will not do much, maybe some powder, cover sticks etc...no idea what to use since i am not using any ;-)
@Kirk: I do not want to scare them away, but as my experience from last year....some of them are not used to see Laowei aiming with big lenses ;-)

@Francis: Ya.. as Lumi said, last year make up didnt' really work out.
But honestly i don't think we need alot of makeup. maybe some light touch up. One thing i notice when i review last year picture was. we might want to ask them to clean up some of the facial oil before shoot, so it won't get the shine on their face (or like Dean Collin said, the "Spectacular highlight") But when i say make up, i am more refering to some general touch up or powdering. However if you really want, you can do a total transformation if you want.
@Lumi: it's ok, don't use big lens.. hahaha.

Great,thanks for the info. I guess with time constraints, limited space, and a bunch of people, the less complicated the setup = the more efficient the whole process will be for both sides. Can't wait for the challenge haha.

2. Photographer / assistant - I sure would like to shoot but I've never done studio before.
3. Shoot the event
That sounds normal that we cannot all be shooting, but I suppose we will form small groups so that the ones that don't shoot can still learn something... right ? :)

Wow, great stream u got!
That's what i am planning too. i wanna try pair up some experienced portrait shooter (especially with flashes since we will be shooting in close quarter where natural light might not be ideal) with someone who is just starts out with lighting.

Wow, looks like we not only have many experienced photographers with excellent equipment, we have make up artists, processing geniuses and organizers! We're definitely off to a winning start.
And thanks to Kirk and Lumi for being so organized and thorough too!
I'll volunteer myself to cover the event, and help direct families and children along the way.
Just a logistical reminder to all: We are very far out from the city, there will be no MacDonalds/KFC delivery for snacking etc so please make sure to have a full breakfast/brunch. It will be great if people brought snacks and drinks to share, it should keep us going for the day.

Hi Peter, welcome.
As we wrote in the introduction it's up to you. What ever you can offer is welcome. We got already a lot of people for taking pictures and help with other things, so please post a short list of things you wanna do. Not sure if you CAN do them finally but so we can plan a little bit.
We thought about to assign 2 photographers to each set so they can switch if they want. Doing "behind the scenes" pictures/videos are very welcome since this is the only thing what we can publish.
As you see, there are different tasks to perform...just think about what is the best for you ;-)

anyway.. everyone, i will probably release a list of primary task for everyone this weekend, just want to make sure everyone got a chance to sign up (i know i said first day of dec before.. but.. ah well.. good idea. Videos are also good for product display. We just have to figure out where to host them. Maybe we could open an account in Youtube or better in a platform which is not blocked in China.Then everybody can use the embed code to show them in their own blog.

Great! everyone. i think we have enough people for doing this event (plus more!).
please read carefully as this is another LONG post/update
I decide to have 3 teams only since we only got 3 printers. it makes more sense to have one printer per team. (maybe a 4th backup team see below)
And also i want to make sure each team at least have ONE photographers who can speak mandarin.
Photo Team 1:
+ his friend (post processing)
+ 
+ one more person to assist.
I figure u guys know how each others work. (and u 2 both smoke, so u can cover each other during the smoke break! haha)
Photo Team 2:

+ (+ friend who can do make up?)
Photo Team 3:

+ + (Kindergarden Teacher friend)
Both and got some studio experience.
and both and can do post processing.
so .. u 3 decide how to split the time.
I didn't assign printing, since i think i will group that into post processing, since there aren't that many computer to do that anyway.
Yesterday we discussed with the principle of the school and the organzation, we might be looking at a little more people then 40 group.
SO....
There is a "POTENTIAL 4th team" as backup.
I will personally take this one, I haven't assign any helper other then my wife yet..
so who ever interested to help and/or have some studio experience,
please let me know...
For the photographers, please bring along with your lighting gear too.
i don't think it needs to be very fancy, One main light + one fill (could be reflector too), and maybe have one as back up in case need seperation with the background.
of course, if you want to be Joe Mcnally and have a 100+ light setup, you are free to do so.. (and i will come over to try .. haha)
Oh and please bring power bar!

I think you got all the main issues covered and the final setup will be easier. Anyway, as you already wrote...final adjustments are possible and welcome since it could happen that somebody can not join because of an urgent other thing.
I have no doubts that this event will become a success since all of you are flexible enough to cover more tan one task.
BTW, are you there? Long time not seen...

Hurray, got the printers from Canon. Will test them out tonight.
I also suggest, if time allows, we print One large, and perhaps two smaller ones for each family. Usually they may want to mail one back home... Just a thought.

Hey, can you post the model number for the printers, so that people who are bringing laptop can download the drivers ahead. the internet access on site might be limited. and really don't wanna deal with that on the spot.
also does it have printer cable?
should be able to fit TWO 5x7 on one A4.

I heard about this and want to help. I just returned from a trip and think I picked up the flu or something. Will know more tomorrow, hopefully I'm just tired. :-)
So, if I'm healthy I want to come and help. I have a couple of bodies including my 5DII and a simple lighting kit from my studio I could bring, but it sounds like that stuff is covered. If nothing else I'll help cover the event and process on my laptop.

Sure, you are more the welcome to join and help.
if you are ok to bring some simple lighting kit, it's cool to bring it too. we MIGHT be getting more family/subject to shoot. (i will most likely get notify tomorrow about this.) and we might have to open up another team or two.
but if u dont wanna bring the lighting.. u can always just bring the body/lens,or a laptop to help... or simply just bring yourself to help out on the event.

UPDATE ON THE PRINTERS
The printer model is Canon Pixma MG6180. But I won't bother downloading the drivers. This is why:
It supports printing straight from USB, CF, SD cards. So we can process the images on the computer, then generate the output to USB. We will then print straight from USB. This will solve the hooking troubles, which we may not have time to do.
It can even print straight from the CF, SD card off the camera without post processing.

sorry I didnt mention it earlier I was going to go with team 2.
I am also brining a friend, supposely there are 6 of us but 2 of them have to go at 10:30am for work so now there are only 4 of us in team 2. We will be there at around 9:30am or so to set up the equipment first.
I am mobile to help on event pics or other team if needed. We will see how it goes there? how do we contact each other there?

actually Team 1 or Team 3 are the one that need people most, so if it is ok, it would be better if we can put you there. but we will see. it's great that you are bringing 4 friends.
as for time. DON"T go at 9:30, the school are expecting us at around 11am. so.. if you go at 9:30, they probably won't have people there other than the security.

Well "I" personally think it is better to print from computer since you can preview and put chopping line around it. A4 is SLIGHTLY bigger than 8x10. Anyway.. i will leave it to individual's call. (or you can call me old school.. HAHAHAHA)

@ Woods - I need to take the printers over so I will be driving. See you there.
@fotografX.org - I will bring a set (umbrella, back drop rack...etc) so you don't need to. But please bring the trigger set as a back up. I only have one and a slave.
@sucremina - 9:30 is probably too early. The first group will come in between 12:30 to 1:00pm. Arriving there at 10:30am should be sufficient.

Music is probably a good idea!
Also, I know that all of us will be busy with tasks, random things that pop up, limited space etc, but what do you guys think about bringing things such as:
beach volleyball
basketball
frisbee type thing
deck of cards
pogo stick/stilts
musical instruments
(I have none of these, except for a deck of cards)
Toy items that can really get a group of people involved in some kind of activity or provide downtime. Since it's at a school there is probably a playground, so none of these projectile items will break our equipment if people play outside.
Or set up another location for families waiting to play around with a camera, learn a little about photography, etc... so that families waiting in line won't be bored and/or start pushing in line blah blah blah.
I guess what I'm trying to say is, aside from the photography aspect of the day (I know we'll all be busy), what other ways are there to get together as a group and let crowd/photographers get invovled?

For the music thing...I guess the people with the computers store some MP3 on it so they just can run the playlist up and down during the shooting. I see no problem with this.

and everyone, i will be bringing some snack .. i just found a Carrefore gift card that i got from my office for Chinese New year (been disappeared on my desk with all the junk)... and i am going to donate that to the event... will go SHOPPING tonight!! (i THINK there are 200 rmb on the card, will check tonight)
Joyce will also be driving (she borrowed the company car), but i will come back out to the station to meet up. after she park the car.
EDIT, Turns out only have 100RMB on the card instead, but still good amount of snack!

Holy crap! Snacks, pogo sticks and a dozen camera bodies, this is going to be one crazy fiesta! This is what I miss out when Flickr is now blocked at work, all these exciting plans!
I'm very excited about Sat, if the weather holds up, it will be great. Not too cold like the last time, and plenty of sunshine and space to run around.
If no one has mentioned it, there is a ping pong table, very basic. So if you have a set, bring it along. Or a badminton set, kids will be easily entertained.

Ok Problem here.
Jason (莫拉視覺攝影) is the Team 2, he went to HP event last year with you guys if you remembered. Supposely we have 5-6 people going together as Team 2, however Jason and his asistant have to work Saturday so they can't join us on HP on Saturday. He proposed that we meet there at 9:30am so he could set up the equipment and light for us before he leave at 10:30am.
Then we will have 3-4 people in team 2 only.
I dont know if its necessary to bring all those equipment and studio light...etc, if not then I dont see the need that we go there at 9:30am.
I will speak to Jason later about it too.
I dont know how many people needed per team, we have 2 experienced people in team 2, so if you think 2 -3 are enough for one team I am glad to help on other team. Maybe I can bring one extra hand too.

Hmmm this could be a problem. especially this late.
I dont' think we need ALL the equipment and studio light, as long as your team have enough to use.
as for meeting at 9:30. i will try to see if i can reach the people at school and see if we can get in.

I am sure we could take some pictures/video outdoors too. Since we are many photographers with a nervous "trigger" finger and not all of them can shoot at the same time on a set we could spend the idle time with shooting on the basketball court or ping pong table like mentioned before.

Ok I just finished reading all the post...
@ Kirk: No, I did not mean I will bring +3 friends. I was friend with 莫拉視覺攝影-LIFE STYLE PHOTOGRAPHY, we were suppose to go together with he being the photographer in team 2.
He just told me yesterday and he cannot make it due to sudden job task, he was going to leave us the ellinchrom but the only other person who can operate this just told me today that he may not make it either!!!! So now there are only 3 of us in team 2.
None of us have studio experience.
What to do??
3 of us all have our camera, we dont have any lighting equipment, at most only our flash light and tripod.

I, am very panic right now.
I know this could cause some problem especially this late! I already yelled at 莫拉視覺攝影-LIFE STYLE PHOTOGRAPHY! He should come here to post about this himself!

don't be worried. I will bring another wireless trigger set and maybe one or two additional flash lights. there are enough equipment for all of us. The only thing what worries me is that we have enough light stands. and umbrellas ;-)

@Lumi: haha, thank you. I was really worried. I just spoke to Kirk so we will see how it work out romorrow.
My friend and me have our own flash light so I will bring that too.
Do I need to bring my tripod as well?
Ok I saw Kirk will bring some snacks over, I will check my closet see if there is anything I can bring as well. Do we need coffee?

Don't worry , I am sure "莫拉視覺攝影-LIFE STYLE PHOTOGRAPHY" is not doing this intentionally, we all got works to do and ... work is work.. so.. dont' yell at him (i will send him an email later and tell him is ok.. )
I will re-count the people and see what we can do..
And personally i will step in for shooting in this case, to maintain the 3 groups at least. (worst case we can also split David and Lutz if we have to. to create 4 groups.
But on the other hand, i don't think i can re-arrange the plan too much now until tomorrow. we should be fine!
and you are welcome to bring whatever you would like to share! but keep in mind the facility there is rather primitive.
sending you (and the usual suspects) an email ;)

@Kirk: I know "莫拉視覺攝影-LIFE STYLE PHOTOGRAPHY" is not doing this intentionally, personally he really want to come to this event. I was yelling at him (ok not really yelling) that he should come here in the first place when he knows he cannot make it.
I just spoke to him on the phone he said he can leave us the ellinchrom but since none of me and my friends know how to use it, he said maybe he can find me something simplier. He will call me again at 2:30 to let me know.
If not, I have studio light at office, its only very simple studio light I use that to take photos of our products, I never take portrait with it so not sure how to use it for protraits. Let me know if its needed.
Or i will just bring a 580 flash light.
Oh, do I need to bring notebook too? or we have enough notebook there? let me know.

if it's not to much stuff to carry then bring the notebook.
for the lights and the other equipment we have/will found/find a solution...
As you probably know, everything can happen, so all the planning could be wrong when just one of our teams is stucking in an elevator for 3 hours ... you never know ;-)))

I will take stairs tomorrow, since I got stucked in the elevator 2 times last month:P I surely dont want it to happen to me tomorrow:P
I will bring my notebook then, but i dont know how to use it to connect to the camera. what kind of software do I need? my notebook is new I havent install anything yet.

dont' worry about the ellinchrom or studio light. Personally I don't want you to get held responsible if anything happen to them.
if is the owner using it and it got damage, it's the owner's problem. but if you borrow, then it's yours.
I do think we can get by with the amount of small flash we got! so unless you REALLY wanted to.. otherwise.. don't worry about it. just bring your 580EX, and your friends.
and don't worry too much about setup your laptop.
if you want to bring laptop, just whatever you use for post processing. (Lightroom? Photoshop? whatever camera software if you want to shoot tether)
if you don't do that, then don't worry about it.
what i am trying to say is, it is hard for someone just "pick up " a laptop and start doing post processing and the whole work flow on it.
just calm down. and enjoy the event.
i think we are fine.

I've got two badminton racquets and some birdies I'll bring along. Also I'll likely have an external with a few hundred GB free for file dumps if we need them (even if we aren't keeping photos).
What is the power situation there? Do we need to bring surge protectors/power strips? Will the building be able to handle all the lights + computers + printer?

New update - talked to Jason just now.
He said its no problem that he can ask his asistant to come and set up the flight for us, all we have to do is click click click. I read Kirk message just now, thank you, I was afraid that I would damaged that fancy light as well....so I think I will just go with my 580.
Jason will probably drop by at around 4 after his work if we are still there.
I did post processing before but only on Jason's computer:P In this case I will bring the NB then, I will try to learn how to do it so I can do the post processing at HP 2011 :)
Did you guys see any AC power supply in the classroom there?
Since I am traveling light maybe I can bring a coffee machine and cook coffee for everyone:P

Good point. YES please bring some extension cords for the computers. The lights are running on battery, so no problem with that.

Sorry missed all these yesterday. Was in a golf course help shooting a charity golf event all day, tired.
Between David, Kirk, Lutz, and I, there should be enough gears to setup 6 to 8 stations. It should be fine.

Hi guys, it's about 2am right now. I am actually watching Help Portrait LIVE right now at creativelive.com/live. They are streaming live from the Seattle hub and the operations is HUGE. They are chatting via video and skype with people all over the world.
At the moment, they are talking to someone in Omaha and they are shooting in a hospital with special patients. They are sharing problems such as people canceling due to suspicions of their photos being used, photogs rescheduling etc.
I am also looking over Twitter and reading the tweets that had the hashtag #helpportrait @help_portrait. It is happening all over the world!

I forgot to mention that I found my lens cap !
Martin had the same and as he carried his camera on his shoulder until getting in the metro, he didn't notice he had 2 of them in his bag. :)
Lucky we took the metro together ! Hehe.
